ZKB's expense processing system has been digitized

The Zürcher Kantonalbank has digitized expense management for its 5,000 employees using Edi. The expense tool made it possible to simplify complex workflows while complying with all security requirements.

Initial Situation

The Zürcher Kantonalbank set itself the goal of simplifying and fully digitizing its labor-intensive travel and expense process. The objective was to optimize internal workflows and provide employees with an efficient solution for expense processing. During the evaluation process, the decision was made in favor of the expense tool Edi, which covers all the bank's security requirements and functional demands.

Solution 

Today, all 5,000 employees of the major Zurich-based bank use the Edi app. During implementation, great importance was attached to the user experience. With just a few clicks, expense receipts are uploaded and submitted for approval. The lean setup thus enables employees at all levels to claim their expense reports in a simple and self-explanatory manner. The rules and verification procedures implemented in Edi, based on the expense regulations, ensure processing that complies with all guidelines.

Furthermore, all approved expense receipts are posted directly in the financial system (SAP ERP) via an interface after being released by Accounting. This allows for fast turnaround times and significantly reduces manual effort in finance, which sustainably lowers process costs. With Edi, a secure solution fully integrated into the corporate infrastructure was implemented, simplifying the expense process for everyone involved.

Project

The project was initiated and realized in 2022. All stakeholders were involved at an early stage, which contributed significantly to the success of the project. A blueprint was created as part of the requirements analysis. Implementation then took place in an agile project setup including a pilot phase. Following the successful completion of the pilot phase, the entire system went live and was connected to the productive peripheral systems. Internal training documents were created and key users were trained during the preparation phase to ensure smooth support in day-to-day business. Targeted internal communication and short training sequences for employees turned the go-live into an absolute success!
